School Tracker for Parents

A Grok Bot template a parent imports, so school updates land in one daily message and a weekly dashboard. The demo uses fictional names and figures.

What it is

This is a personal tool for parents, and an example of a Grok Bot template I built. A parent imports the template into their own bot. The first run asks a few setup questions: the children's names, grades and classes; the school's ManageBac address; which child uses ClassDojo; an optional Gmail or Outlook connection for school mail; the alert thresholds; the times to check; and free times for parent-teacher meetings.

The demo on this page is fiction. It shows Mia and Leo at Example International School. The teacher addresses are placeholders. The people, the school and the grades in the demo are made up.

How it works

Logins stay in the vault. They are never written into the chat. The bot reads ManageBac directly: the Notifications tab, the calendar, tasks and grades. It does that because not every notification is emailed, and teachers update ManageBac at different times. It also reads ClassDojo points, Story posts and teacher chats. Email is optional. A parent who connects a mailbox lets the bot read school mail as well.

A daily check runs on school days only. It skips holidays. The holiday list is built from the ManageBac calendar plus public holidays. The check sends one short message. Urgent items come first: missing or late work, a grade below C or 60 percent, a teacher warning, and ClassDojo points marked needs work. After that come new grades, calendar changes and deadlines for the next 7 days. Each item appears in one message, then the bot leaves it out of later alerts.

A Friday routine refreshes a dashboard page. There is one tab per child. Each tab has status tiles, cards for items that need attention, a 14-day timeline, progress charts, a parent to-do list and teacher contacts. A separate Fees and payments tab is the only place money appears.

The bot can help book a parent-teacher meeting in a free time the parent already gave, and it can draft questions for a teacher from that child's data. Any email is shown to the parent for approval first. Nothing goes out until the parent agrees.

The bot is read-only. It does not reply to the school, submit work, change settings or delete anything unless the parent asks. Each child's data stays private to that bot.

Why it is useful

School information sits in portals, emails and chat apps, and not all of it reaches a parent's inbox. The bot puts that information in one place. It flags only what needs action. Once a week it turns grades into a short visual picture, and it turns the same data into concrete questions a parent can take to a teacher.
